Around the middle of summer in 2017, we were contacted by a long-established property management company, Goodwin Management, regarding some work needed at a client’s location. Gracy Farms Condominiums were constructed during the early 1980s near two busy thoroughfares in the northern part of Austin. The property forms a long “L” shape spanning three public streets or approximately a quarter of a mile. We were asked to view driveways adjoining the alley for concrete repairs. After inspecting the property, a list of the concrete driveways that were in the worst condition and a price for their repairs was prepared by estimator Dirk Van Landuyt, CAPS, CPM.

Goodwin Management then set a meeting with the president of the Gracy Farms HOA at their headquarters in north Austin. From there, the scope expanded; they prepared a written request for quotation that asked us to inspect the alley itself as it showed wear from the trash haulers and the effects of exposure to the sun, rain and other elements over the years. We prepared a proposal to include 3,200 square feet of 2-inch asphalt repairs.

First, however, the concrete work needed to be performed. Four driveways were replaced over two phases, each of which was two days long — one day to excavate and form, followed by one day to pour and trowel.

This is when the first change order came through. A resident asked us for a quote for some sidewalk work to be performed in tandem with driveway repairs. Since we were already mobilized and on the site, we were able to keep his cost down while simultaneously reducing the potential disruption to his normal activities.

After the concrete work was completed, we performed the asphalt repairs. This was followed by 3,900 linear feet of crack fill and a two-phase, two-coat application of Jennite AE sealcoating. The last piece was coordinating with the landscaping company so that they could turn off the sprinklers and trim the vegetation so that we could re-stripe the curb and gutter for the entire length of the alley.

Prior to beginning work, we prepared a detailed letter for management and included a color-coded site map for distribution to residents. These documents explained the scheduled dates for the work and the work locations that would require closing down sections of the alley intermittently over a period of two weeks. This helped minimize any inconvenience to residents.
